General  Meeting  Minutes   

November 9, 2010

A.    Call to Order                   6:37 pm

D.     Reports                           D1.  President  Tracy Melone has moved and will no loner function as Co-Volunteer Coordinator.

                                                  D2.  Superintendent  Thank you to Alyson and other volunteers, including 8th grade students, for putting on this year’s Walkathon.  The Halloween Parade was a hit - the halt in the park worked out wonderfully.  It was nice to be able to listen to the band play.  Thank you to the Sunol Business Guild for donating and handing out the candy.  Parent conferences are next week with early dismissal. 

                                                  D3. Vice President  CC bulletin board in hallway has been updated with 2-Hour Pledge Challenge Volunteers listed and 2 spaces for posting CC notices.

                                                  D6.  Volunteer Coordinator  Jooners is going out for Ladies Night Out.  Pledge forms have been useful - able to target request for recycle hauling to people who indicated they have pickup trucks.

E. Old Business                     

E1.  Walkathon                     Walkathon net profit was $10,484 (last year $13,200)  With the Bed Races fundraisers and the increased membership, we’ve made a little more than in fall of last year.  A Walkathon Chairperson is needed for next year; that person will make the decision to hold it during school hours again or go back to the Saturday format.  The thank you cards sent to sponsors were very well received.

E2  Ladies Night Out            Will be held at Bosco’s Bones & Brew on Friday from 6 - 9pm.  There will be a gold buyer, vendors, appetizers, no-host bar, raffle

E3  School Garden                Last month, Jessica presented plan and funding needs.  Will set up work days next month to implement aspects of plan.  Some plans are on hold pending funding.

E4  Santa’s Secret Shop       Dec. 13th is possible date.  Discussion determined library is better location than auditorium.

E5.  Holiday Card                   Natalie reported printing will begin next week - time slot sign ups on Jooners. 

Website                                   Deanna researched costs.  CC domain name, website with 4-8 pages - $250 including hosting fees, then $150 per year after, with discount if multiple years are paid.  Includes 10 email addresses.  We can get paying advertisers to offset cost.  Question raised about website being hosted by school district.  Sunol Glen has no IT dept. or person.  CC needs to remain autonomous and not require additional manpower from school.  While it would be nice to have our own domain, it’s not necessary, at least for now.  Discussion tabled pending more research and future budget increase.

F. New Business

F1. Spring Fundraiser          Committee signups - set date, brainstorm ideas.

F2.  CC Tech Committee     To partner with SGS Technology Committee to examine short term purchasing decisions and possible donation options; long term technology planning, grant writing, etc.  Committee signup passed around.

F3.  Budget                              CC fiscal year runs Nov.1 - Oct. 31.  Last year we held a Pledge Drive for Art & Music in lieu of our usual spring fundraiser, creating a shortage in funds for our normal operations.  In preparation for budget considerations, teachers were asked their priorities.  Largest need was identified in technology - document cameras, projectors, laptops.  Next priority was for assistance such as teacher aides, with third for literacy programs.  
Our total income is $70,860.  A check for $33,000 was given to the school last summer, with the remainder of Pledge Drive Funds designated for Art & Music. 
We have been fortunate to have won 4 document cameras from Avermedia through online contests and blogs.  We now need projectors to make them work and are investigating outside sources.
Last year’s budget focused heavily on Literacy; this year’s focuses on Technology.  “Unallocated Reserve” item could be seed money for any additional fundraisers. 
Much thought has gone into this budget; creating “bucket” categories will help alleviate last minute adjustments.  PE and math aides could be kept off the budget by using volunteers as much as possible - recruit reliable (and qualified, in the case of middle school math) parents to help.  Middle school math is key to high school success. Lacrosse has been incorporated into PE and extra curricular.  Volunteer schedule will be on Jooners.
